copy deleted emails to a local folderOn our exchange server the admin had put the setings so that all
deleted messages will be deleted the day after. How can I copy all messages to another folder localy on my machine before they get deleted by the exchange rule? If the mail makes it past the gauntlet of your anti-spam rules, end with a rule to save a copy of the mail into this other folder. I created a "Received Items" folder that is under the "Sent Items" folder. The whitelisting rules move a copy into the "Received Items" folder. If the mail survives past my anti-spam rules then the last rule moves a copy of the received mail into the "Received Items" folder. Doesn't matter that I delete the original from the Inbox folder since a copy is still in the Received Items folder. I made it a subfolder under Sent Items because I could then do a search starting at the Sent Items folder, the search includes subfolders by default, and the results would include both the sent and received copies of the mails (which I could group using the View in the search results window). Some folks just move the copy of sent and received items into the same folder (and sometime just reuse the Sent Items folder) so they can group the related mails whether they were sent or received. Obviously it will be up to you to manage the items in the other folder to where you moved a copy of received mails. If you just want to expire them after a longer interval than what the Exchange admin provided, use auto-archive to delete the items in this other folder that are over N days old (you get to pick the value of N). Obviously the above only works for received mails that you later delete, but then all mails that you have were received sometimes. It won't help if you delete items that were received before you used the above rule to save your own copy elsewhere, but then you could move a copy of those older items into this other received/pending folder to catch up. One day seems a bit overly short for deleted mail recovery. Have you actually asked your Exchange admin about upping the retention interval? Since the Exchange server should be getting backed up daily, your deleted items should still be available in the backup that was performed the day before the 1-day expiration for the deleted items, so you might have to ask the Exchange admin for a copy of your old e-mails from their backups. Pester them enough to do the >retrieves from backups and maybe they will be more compliant to >increasing the deleted items retention interval. all the incoming email from inbox to another folder, but my goal is to keep all mail (don't delete anything), and I can not keep them in my Inbox, and moving them into another folder (like deltede mail folder) one by one as they arrive is a bit crucshky, so my aim is to delete the email that I don't want by clicking the delete buttom, but have a rule that copies all mails from the delete folder into another folder before the end of the day.
